                                INSTALLATION

Install:
1) Print out this read me file and keep handy for installation

2) Print out the Bank.txt file and send to bank for their response.

3) Copy the ssDirect.exe program into the Pro system directory.

4) Custom Menu option can be entered from 
   a) System Manager: Maintain/Setup/System Installation/Custom.
   or b) Payroll: Change User Information, (select User), click on Custom. 
   Choose an empty option and under Menu Text, Type: Direct Deposit  
   Under Command Line type: do ssDirect

5) Exit Pro.  Must exit to affect the changes in the Custom menu.

Purpose: To create standard NACHA (ACH) file for Direct Deposit 
         transmission to any bank.  

Operation:  All data entry and reports are handled through Pro's direct
         deposit procedures.  This mod simply changes the output from 
         NPC's proprietary format to the banking industry's standard 
         format and allows transmission to the bank of your choice.

   
                               SET UP

1) Enter Pro Payroll program
   Choose Menu Selection: File/Change Setup Information
   Check the "Use Direct Deposits" box
   Click on "Save" which will bring up the Direct Deposit Setup Screen
   Enter Path of Direct Deposit directory

2) Follow instructions from Bank.txt for placement of bank information.

3) Employee Setup (regular SBT procedure)
   a) Direct Deposit Maintenance: Fill in all fields including Priority.
      Be sure to click on the Account Status spinner, change to Pending 
      for Prenote, Active for Direct Deposit
   b) Employee Master: Check "Use Direct Deposit" box


                           TRIAL/LIVE MODES

The trial program is available at no charge from our website.  Only 
the Prenote function is available in this mode.  This will allow you to
setup the files and submit a Prenote to your bank for approval before 
the install code is entered.  The Install code is issued through Strong
Software and will convert the program to "Live" when entered into the 
"NPC No." field of the Direct Deposit setup screen.


                              OPERATION
                  
To operate this program you need to be in Payroll and have these 
Privileges: 'Print Payroll Checks' and 'Transmit Direct Deposits'.
  
Process Direct Deposit from the Custom menu.
  Click on 'Direct Deposit' under the 'Custom' menu pad.
  You will be presented with a form. Change the defaults if necessary.
  The default for Direct Deposit Date is today's date + 1. The default
  for Dept (if using Depts) is All, but you may change that by 
  clicking on the Dept check box and eliminate or add depts. Click the
  same button when finished. The default for Employees is also All. 
  Follow the same procedure as Depts to select certain employees.  


  The first step our program does is create the ACH file and give you 
  a popup screen showing you the file name and the number and amount of 
  these Direct Deposit transactions.  At this prompt no SBT records have
  been updated. Feel free to "Cancel" if you would like to review or edit 
  postings.  Pressing "OK" will print the employee's advises and update 
  the files.
  
When an ACH file is created, Two files are created at once: 
  BATCH.nnn (where nnn = batch number) and TRANSMIT.ACH Both files are 
  identical. The TRANSMIT.ACH file will always be a copy of the latest
  batch. The other file with the batch number is created for reference
  in case a new ACH was created before the other got transmitted.
  No BATCH files (with the batch extension) are removed through this
  program. To remove them requires a manual delete (dele batch.*) 
  through DOS. You may wish to delete the TRANSMIT.ACH file immediately
  after transmission so that there is no confusion on whether or not
  it's been transmitted.

NOTE on PRENOTES:
  You are free to repeat prenotes as often as you wish, just choose the
  "All" option when selecting prenotes.

  
         CUSTOMIZATION THROUGH THE USE OF "RULES"

Over 90% of our customers operate without further changes.  
However, your bank is always in charge, so if they ask for any of the 
following, you can handle it with the use of "Rules":
 
Basic Rule steps:
  a)  From System Manager, choose Maintain/Companies/Rules. 
  b) Select Company and add "DD_XXX" as the rule (where "XXX" is the 
        Identifier that's given below.
  c)  For Description you may enter anything you wish, something like:
        "Custom variable for Direct Deposit".
  d)  Normally it is a bit tricky to add a rule, so we will abbreviate 
        the operation and just use the Message Text line to store the
        data. On Message Text enter the values given below.
  e)  Keep the remaining defaults and Save rule.
  f)  Repeat for all companies.


Debit or Offsetting record:
  Should your bank require a debit record, follow Basic Rule Steps:
  a) 
  b)  Add "DD_DEBIT" as the rule 
  c)  Something like: "Debit Record for Direct Deposit"
  d)  On Message Text enter:  
        Route#xxxxxxxxx, Account#yyyyyyyyyyyyyy
        where x's represent the 9 digit Route No. and y's the Account#
  e) 
  f) 

Login record:
  Should your bank ask for a "Login Record" that precedes the ACH file,
  a) 
  b)  Add "DD_LOG1" as the rule.
  c) Something like: "Login line for Direct Deposit".
  d) On Message Text enter exact Login string.
  e)  
  f)  

  If a second Login string is required, add a new rule and call it
  "DD_LOG2".

FileName:
  Default file name is TRANSMIT.ACH but you may change it. Follow 
  Basic Rule Steps:
  a)
  b) Add "DD_NAME" as the rule.
  c) Something like: "Transmit file name"
  d) On Message Text enter the full file name including extension.
  e)

Immediate Origin (Record 1, Field 12):
  This is usually your company name.  If your bank asks for something 
  different, follow Basic Rule Steps:
  a)
  b) Add "DD_IORIG" as the rule.
  c) Something like: "Bank does not want our company name".
  d) On Message Text: Enter the wording your bank has given you.
  e)

Company ID (Record 5, Field 5 and Record 8, Field 7):
  This is usually a "1" followed by your Tax ID. 
  If your bank asks for something different, follow Basic Rule Steps:
  a)
  b) Rule name is "DD_COID".
  c) Description can be "Company ID for Direct Deposit"
  d) Enter exact Company ID on Message Text line.
  e)

Print Bank name on advise
  If you suppress the printing of your bank name on live checks, but
  wish to print it on the direct deposit advises.
  a)
  b) Rule name is "DD_BONC" (bank on check)
  c) Description can be "Print bank name on advise"

Use custom form for printing checks
  The standard check form for direct deposit is the PRRCPW.frx/frt file.
  If you wish to print on custom report form, you may enter the file name.
  (the custom report files need to be in the Payroll directory).
  a)

  c) Description can be "Using custom check form"
  d) Enter Report form name (without the .frx extention)

More than 4 accounts:
  The Pro series supports up to 4 direct deposit accounts.  If you require
  more than 4 (but less than 9), you will need to change a line in 
  Prempl.prg: Search for "#define Cn_MaxDDAcct" and change value from 4
  to 9 also insert a comment line above this code indicating when you 
  made this change and why. No other changes need to be made to any of
  the programs but you will need revised forms to print the additional
  accounts on the "check stub".
